Cancellation Policy
Our cancellation policy is strictly 9 hours for Studio bookings and 4 hours for Recovery bookings. For cancellations made within these time frames your pass will be lost, for both Studio and Recovery. A $10 late cancellation fee and a $15 no show fee will be incurred for Studio bookings on a membership. Pack holders will lose their pass.
Our cancellation fee’s are automatic and are charged 24 hours after.
A 9 hour cancellation window allows other clients to organise themselves to take your booking space.
Cancellations will not be accepted via phone, text or email and must be made on the Flow Lab, Momence app or online. If you’d like to discuss your cancellation you can message us on the widget on this screen or email us.
Arrived Late?
Studio Classes start on time, so that we can finish on time. The doors are locked when class commences. There is no late entry to a class at any time.
Recovery bookings commence at the same time as the classes during studio hours, so it is important to be here 5 minutes prior to your appointment time so that you can be shown into your room. If you are late, the door will be locked and you will have missed your appointment.
Studio Etiquette
The studio is a no phone, DND, Silent zone. Please ensure your phone is on silent and is left with your belongings. If you do need your phone, please advise the teacher at the start of your class.
Socks are preferred in the reformer room, however not mandatory, but did we mention preferred? We sell grip socks at reception.
In the hot room you are required to bring a large towel, if you do not have a large towel you can hire one for $4. If you have your own Mat, you are welcome to just bring a small sweat towel.
Once the teacher enters the room to commence class, its time for you, and everyone else to flow- you can catch up with your friends after class.
Recovery Etiquette
Arrive 5-10 minutes early, and exit 50 minutes after your appointment time commences. We ask that noise levels are kept to a minimum, as this space is used as a sanctuary to some to find some stillness in their day. We run appointments back to back, your assistance is appreciated by leaving the room the way you found it - clean, dry, and usable for the next booking.

Minimum class attendance
It doesn’t happen often, but sometimes when we have less than 3 people scheduled into a class, it will be cancelled. We will let you know at least 1 hour prior and your pass will be credited back to you.
Terms and Conditions
General Terms and Conditions
Flow Lab Pilates and Recovery Pty Ltd will make every possible effort to deliver classes and services on time as advertised. However, there may be times when a scheduled class is unable to be delivered.
Classes are provided by Flow Lab Pilates and Recovery Pty Ltd either at any of their premises based in Moonee Ponds, Footscray or online delivered to its clients.
Late entry is not permitted to any class whether attending in-studio or an online class. Please ensure that you arrive 5-10 mins before the scheduled class time at the studio.
Flow Lab Pilates and Recovery Pty Ltd are not liable to refund, transfer or offer compensation of any kind for classes that are late, changed or cancelled for any reason, or in the event you are unable to attend a class because it is full.
Flow Lab Pilates and Recovery Pty Ltd will not be liable to refund or compensate you in the event you have elected to participate in an online class and you are unable to participate due an inability to connect to the server and stream the class at the nominated time. Flow Lab Pilates and Recovery Pty Ltd shall not be liable if the clients internet connection is poor quality and unable to stream the class as it is being held. It is the client’s responsibility to check the quality of their own internet connection.
Flow Lab Pilates and Recovery Pty Ltd provides areas for participants to store their valuables, but please note that Flow Lab Pilates and Recovery Pty Ltd will not be responsible for the safekeeping of clients belongings while they are at the studio.
All purchases are final and Flow Lab Pilates and Recovery Pty Ltd do not offer refunds on services or products for change of mind, injury, illness, change of address or any other reason.
All passes and memberships are non-transferable and may not be shared.
Age Limits: If the client is under 18 years they must attend their first class with a parent or guardian. After this they can come alone. Clients must be a minimum of 16 years old to attend all Studio classes unless a 1:1 assessment is completed with our studio owner, Sally Boyle. Please email us to organise this.
Class Booking Cancellation Policies.
This policy applies across all classes in the Pilates studios
If you have booked to attend a class and wish to cancel your attendance, you must seek cancellation through the online booking system up to 9 hours prior to the scheduled commencement time for the class. Flow Lab Pilates and Recovery Pty Ltd will not accept cancellations by phone, e-mail or any other method other than by using the online booking system.
Any cancellations after the 9 hour mark will be considered a Late Cancel. If you do not cancel your class and you do not attend, you will be considered a No Show. This includes classes you are added into from the waitlist.
Studio Classes Late Cancel $10 & No Show fee $15 along with the loss of one class for each Late Cancel and No Show.
By booking online you are agreeing to the late cancellation and no show policy.
Recovery appointment Booking Cancellation Policies.
This policy applies across all appointments in the Recovery Studio.
If you have booked to attend an appointment and wish to cancel your attendance, you must seek cancellation through the online booking system up to 4 hours prior to the scheduled commencement time for your appointment. Flow Lab Pilates and Recovery Pty Ltd will not accept cancellations by phone, e-mail or any other method other than by using the online booking system outside of the 4 hours.
Clients with a casual or multiple session pass will result in the loss of one pass for each Late Cancel and No Show. Studio Classes Late Cancel $10 & No Show fee $15. By booking online you are agreeing to the late cancellation and no show policy.
Introductory Offer
Any introductory offer made by Flow Lab Pilates and Recovery Pty Ltd may be purchased once by each client. Introductory Offers will be valid for specified terms, usually expressed in days. The term of the Introductory Offer will commence on the date of your first visit. No refunds, transfers, suspensions or extensions are offered on unused portions of any Introductory Offer due to illness, injury, change of address or any other reason.
Class Packs
Class Packs expire as per the pack description on our website from date of purchase. No refunds, transfers, suspensions or extensions are offered on unused portions of the Class Packs due to illness, injury, change of address or any other reason.
Weekly Direct Debit Membership
There is no minimum term on our weekly memberships.
The membership will continue until you advise Flow Lab via Email (hello@flowlabco.com.au). Fourteen days’ notice is required to process the cancellation.
Weekly Direct Debit Memberships can be suspended for minimum 1 week (7 days) and maximum of 6 weeks via email (hello@flowlabco.com.au). Memberships can be suspended for maximum 6 weeks per year. Please allow 72 hours to process membership suspensions.
Membership fees will be charged to your nominated credit card or bank account on a weekly basis via Momence & Stripe payments. It is your responsibility to ensure there are sufficient funds available to cover the weekly auto pay. If any auto pay is declined due to insufficient funds Stripe payments or your bank may charge you a fee from your account after the failed payment.
If an auto debit cannot be made for any reason, Flow Lab Pilates and Recovery Pty Ltd may in its absolute discretion, process payment anytime after the due date upon receipt of sufficient monies in your account.
Virtual Class access
Access to Flow Lab classes virtually is live via zoom. Virtual class participants are responsible for their own equipment and access to the online hosted link. If a client is late or misses the scheduled class this time will not be taught in lieu nor will the purchase of the class be refunded. Participants are also responsible for their own safety and wellbeing and Flow Lab holds no responsibility for injury or damages that occur during virtual class. Flow Lab instructors and management reserve the right to deny a client if they are not deemed to have adequate ability for the class environment. The client understands that the instruction given to them by the teacher is not always specifically tailored to their ability level and therefore is receptive to adjustments issued by the teacher and to manage their own physical ability by stopping, regressing and proceeding when appropriate. No shows will not be charged for virtual classes.
Photography and Content
Flow Lab staff reserve the right to film and/or photograph during class and in/around the studio. This content is sometimes distributed through social media and other marketing channels. If a client does not wish to be filmed/photographed, they are asked to please disclose this to the relevant Flow Lab staff. Note also that for virtual classes hosted on zoom those participants may sometimes view clients participating in studio. If a client does not wish to be featured on the zoom class interface and/or recorded they are asked to inform the relevant Flow Lab staff. This request may result in the client being repositioned in the room to avoid being on film. Clients who choose to take images/videos within the class setting and studio are asked to please be respectful of the privacy of other clients.
Waiver
By accepting this waiver and participating in any class/session at Flow Lab (Flow Lab Pilates and Recovery Pty Ltd) you consent to, and agree to release the instructor and Flow Lab management from any liability according to the following terms. Unless notified, this waiver and release will apply to ALL sessions undertaken at Flow Lab.
The client understands that Flow Lab sessions are designed for physical activity and that the client voluntarily participates in these sessions with full knowledge that there is a risk of personal injury, property loss or death. The client agrees that neither them, nor their heir, assigns or legal representatives will sue or make any other claims of any kind against Flow Lab or its staff and members for any result of personal injury, property damage/loss, or wrongful death whether caused by negligence or otherwise.
The client agrees that Flow Lab is in no way responsible for the safekeeping of clients’ belongings while on premises and Flow Lab does not assume any responsibility for lost, damaged or stolen personal property. If the client becomes a victim of theft of any object that is on Flow Lab premises, they are to report it a member of the Flow Lab staff immediately.

Information We Collect
The type of information we collect is based on the information you give us including but not limited to your name, address, date of birth, email address and phone number or credit card information (Personal Details). Any credit card information is not retained or stored on our site. This is only captured and used to process any payment you make when purchasing or subscribing to our product and services. In addition, we may also collect and store data relating to your image (if you have attended our class either online or at a studio) your fitness interest and preferences which is captured from comments you make on any of our social media platforms.
We respect the privacy of our online visitors. We may collect information on or through this website that can personally identify you. For example, we collect personally identifiable information which you volunteer to us to respond to visitor questions and comments about us and our products and services, and to mail e-newsletters.
We may also collect additional information at other times, including but not limited to, when you provide feedback, change your content or email preferences, respond to a survey, or communicate with our customer support.
Information about you may also be provided to us from other sources that is we may receive information from organisations we work closely with (third parties) e.g. business partners, authorised distributors, health and fitness clubs or other organisations that we work with to promote our brand, products and services.
We are also obliged to advise that should you connect with our business via social media platforms, or features of our website which in turn connect to your own online profiles or social media accounts, we may collect any information which you have permitted to be shared or made available via the settings of those individual social media accounts, e.g. if you access or like us on Facebook, we will in turn have access to your profile and data of your Facebook page. You may change your privacy and security settings of your own social media accounts to control the personal details available from time to time.
Use of Information
We may use personal details collected from you to the extent permitted by the applicable law for the purpose of providing you with direct marketing material, updates regarding our website and information in the form of a newsletter. This will only apply if you have registered or subscribed to receive our products and services about our classes whether by registering your details to attend at a studio or via an online class with us. We will also use your personal details to correspond with you as to changes in our services and to inform you of account and policy changes which may happen from time to time. However if you wish to cease receiving any such information you may let us know either by email or unsubscribing at any time and your request will be actioned immediately.
Individual profile and company details are not used for any other purpose. Your Personal Details are only supplied to a third party supplier when it is required by law, for goods or services which you have purchased or to protect our copyright, trademarks and other legal rights.
We may use your personal details to allow you to participate in interactive features of our business, including data analysis, research and testing, statistical, editorial feedback and survey purposes. Of course you may opt out at any time.
Before using any Personal Details we will undertake a balancing test to determine and ensure that our legitimate interests are not outweighed by your interest or fundamental rights and freedom which require protection of the personal details.
We will use all reasonable means to protect the confidentiality of your Personal Details while in our possession or control. We will not knowingly share any of your Personal Details with any third party other than our service providers who assist us in providing the information and/or services we are providing to you. To the extent that we do share your personal information with a service provider, we would only do so if that party has agreed to comply with our privacy standards as described in this privacy policy. Some of our service providers may be overseas and may not be subject to Australian Privacy Laws. Please contact us if you require specific details.
Any non-personal information, communications and material you send to this website or to us by email, or which we obtain from third parties without promises of confidentiality, may be kept, used and disclosed by us on a non-confidential basis. We are free to use and reproduce any such information freely, and for any purpose whatsoever. Specifically, we will be free to use any ideas, concepts, know-how or techniques contained in such information for any purpose, including developing, manufacturing or marketing products.
Cookies and Pixels
A cookie is a small file placed in your web browser that collects information about your web browsing behaviour. Use of cookies allows a website to tailor its configuration to your needs and preferences. Cookies do not access information stored on your computer or any personal information (e.g. name, address, email address or telephone number). Our website uses cookies to analyse website traffic and help us provide a better website visitor experience. In addition, cookies and pixels may be used to serve relevant ads to website visitors through third party services such as Google Adwords and Facebook Adverts. We may from time to time need to disclose certain information, which may include your Personal Details, to comply with a legal requirement, such as a law, regulation, court order, subpoena, warrant, in the course of a legal proceeding or in response to a law enforcement agency request. Third Parties
We do not and will not sell or deal in personal or customer information. We will never disclose your personal details to a third party except the necessary information required by providers of products or services you have purchased or to protect the rights, property or safety of flowlabco.com.au, our customers or third parties or if required by law.
We may however use in a general sense without any reference to your name, your information to create marketing statistics, identify user demands and to assist it in meeting customer needs generally. In addition, we may use the information that you provide to improve our website and services but not for any other use.
Retention of Personal Details
Any information and Personal Details which we collect is retained only if we need it to support and operate our business or when (permitted by law) we have a purpose for using the information that requires us to retain same.
Subject to applicable legislative requirements, if you cease to be a subscriber or customer of our business we will only hold your personal information for a period of 18 months following the cancellation of your subscription/account. When we no longer require Personal details we or any of the third party suppliers we use, will be required to delete the personal details.
Security of your Personal Details
We will at all times maintain physical, technical and administrative safeguards in order to protect the personal details you provide to our staff, via our website or social media platforms. Our security technology is regularly tested and updated and we will restrict access to your personal details to those employees of our business who need to know that information in order to provide benefits, information or our services to you. We will train our employees to observe and understand the importance of confidentiality and maintaining confidentiality to maintain the privacy and security of your personal details. We are committed to taking disciplinary action in or to enforce the responsibilities and obligations surrounding the privacy of your personal details.
Change of Details or Opt-Out
You may change your Personal Details at any time by advising us in writing via email. All information we receive from our customers is protected by our secure server. flowlabco.com.au secure server software encrypts all customer information before it is sent to us. Furthermore, all customer data collected is secured against unauthorized use or access. Credit card information is not stored by us on our servers.
You may at any time choose to opt-out and seek that we delete your personal details. Any customer who opts-out we will update our records accordingly to ensure that their personal details are removed from our systems particularly in relation to marketing and promotional materials and newsletters.
Changes to this Policy
Subject to the applicable legislation we may update and change this Privacy Policy at any time. We will tell you and alert you to any changes and ensure a copy of the updated policy is made available either online or via post to you. Any modifications or changes we make will be effective immediately unless otherwise stated in this policy. If required by the applicable laws, we will seek your consent for such changes and also provide to you an opportunity to withdraw and cancel your subscription or membership with our business.
